Administrative Assistant

Responsibilities

 

Responsible for the maintenance of all picking lists. Responsible for the issuing of goods and orders shipped within the company network. Responsible for generating all documentation for outgoing shipments. Responsible for recording, keeping and maintaining all associated administrative documentation for the Shipping Department.

 

Position Responsibilities

  • The inspection of incoming Picking Lists for accuracy and completeness (quantity, batch number, weights).
  • The generation, maintenance and processing of all necessary documentation for outbound shipments.(Bill of Ladings, Packing Lists, COA's)
  • The generation, maintenance and processing of all necessary documentation for all outbound shipments, if applicable (ProForma Invoices, Certificate of Origin, IATA Restricted Article form, Tech Data Sheets, MSDS's, Federal Express, Emery Air, Bax Global and DHL Waybills,  Advanced Shipping Notices and various master documents required to be used in the Shipping Dept.)
  • Checks and reviews the accuracy of assigned work.
  • Completing all Picking List special instructions that have been designated as the positions responsibility. 
  • Estimates and orders supplies for the Shipping Office in order to maintain adequate levels associated with the completion of assigned job tasks.
  • Serves as a resource and assists in the resolution of unusual or difficult inquiries/situations through direct personal action or refers to the appropriate individual.
  • Relies on experience and judgment to plan and accomplish assigned goals.
  • Monitors the effectiveness of job task systems and procedures and makes appropriate recommendations to ensure daily operations are efficient. Also implements approved changes.
  • Assist the organization to create a safe and healthy working environment by working safely, using equipment provided and following instructions given for health and safety purposes and immediately reporting any unsafe working practices or hazardous working conditions.
  • Performs other duties as assigned.

Requirements

 

  • Possess a working knowledge of a P.C. and Printers.
  • Possess a working knowledge of any M.S. Windows platform and M.S. Office (Word, Excel, Outlook)
  • Possess good typing skills.
  • The availability to work overtime hours, unscheduled shifts and / or workdays as necessary to meet business objectives.
  • The ability to obtain DOT and IATA certification training is required.
  • The attendance offsite for additional training deemed necessary to the position, may be required.
  • As a team member, works closely with company employees in a team oriented environment.
  • Must possess and maintain a good attitude for a fast paced work environment.
  • Must possess and maintain good communication skills for general customer and interdepartmental contact.
  • Must possess good communication skills, both written and oral, sound business judgment, strong interpersonal and technical skills and a professional demeanor.
  • Must be able to effectively deal with customers, distributors and to work well with people at all levels of the company.
