How do we collect your data?

On the one hand, your data is collected when you provide it to us. This may, for example, be data that you enter in a contact or application form.

Other data is collected automatically or with your consent by our IT systems when you visit the website. This is primarily technical data (e.g. internet browser, operating system or time of page view). This data is collected automatically as soon as you enter this website.

What do we use your data for?

2. Handling of applicant data

We offer you the opportunity to apply for a job with us. In the following, we inform you about the scope, purpose and use of your personal data collected as part of the application process. We assure you that your data will be collected, processed and used in accordance with applicable data protection law and all other statutory provisions and that your data will be treated in strict confidence.

Scope of data collection

If you send us an application, we process your associated personal data (e.g. contact and communication data, application documents, notes taken during job interviews, etc.) insofar as this is necessary to decide on the establishment of an employment relationship. The legal basis for this is § 26 BDSG under German law (initiation of an employment relationship), Art. 6 para. 1 lit. b GDPR (general contract initiation) and - if you have given your consent - Art. 6 para. 1 lit. a GDPR. Consent can be revoked at any time. Your personal data will only be passed on within our company to persons who are involved in processing your application.

If the application is successful, the data submitted by you will be stored in our data processing systems on the basis of § 26 BDSG and Art. 6 para. 1 lit. b GDPR for the purpose of implementing the employment relationship.

If you are interviewed by us in a job interview or take part in an assessment, we may include a short evaluation in the database. Of course, this evaluation will not contain any defamatory or derogatory statements; only information that is specifically related to the evaluation and the recruitment process or your job profile will be included. An assessment will also be made and stored in the database as part of the coordination between HR and the hiring department to check your application profile for the advertised position. 

In the course of the application process, we may also ask you further questions, e.g. about your willingness to travel, your driving license or your language skills. We process the data that you provide to us in this context. We also process the data that you send us when you contact us by E-Mail.

Application documents may contain special categories of personal data. According to Art. 9 GDPR, special categories of personal data are personal data revealing racial or ethnic origin, political opinions, religious (e.g. information on religious affiliation/denomination) or philosophical beliefs or trade union membership, as well as the processing of biometric data for unique identification (e.g. photographs), health data (e.g. information on the degree of severe disability) or data concerning sex life or sexual orientation. If your CV contains special categories of personal data, we do not intentionally collect them. We expressly request that you do not send us such data with your CV.

 

Purposes and legal basis of data processing

We process your personal data for the following purposes and on the basis of the following legal basis:

  1. Data processing for the decision on the establishment of an employment relationship pursuant to Art. 88 para. 1 GDPR (in Germany in conjunction with Section 26 para. 1 sentence 1 BDSG) or Art. 6 para. 1 lit. b GDPR
     
    If you apply to us, we process the data collected as part of the application process for the purpose of carrying out the application process. 

We base our decisions in the application process on the personal data provided by you within the framework of the legal requirements. For example, we use your professional qualifications to decide whether to consider you in the shortlisting process or a personal impression in a job interview to decide whether to offer you the position for which you have applied.

  1. Data processing based on your consent in accordance with Art. 88 para. 1 GDPR in conjunction with § 26 para. 2 BDSG or Art. 6 para. 1 lit. a GDPR
     
    If you give us your consent for data processing, we process your data in accordance with Art. 88 para. 1 GDPR in conjunction with § 26 para. 2 BDSG or in accordance with Art. 6 para. 1 lit. a GDPR.

We also process all personal data that you provide to us as optional information (not marked as mandatory) within the application form in accordance with Art. 6 para. 1 lit. a GDPR on the basis of your voluntary consent, as the provision of the information is not mandatory. 

  1. Data processing of special categories of personal data pursuant to Art. 9 para. 1 GDPR based on your consent pursuant to Art. 9 para. 2 lit. a GDPR
     
    If, as part of your application documents, you voluntarily and contrary to our express request provide us with special categories of personal data in accordance with Art. 9 para. 1 GDPR (e.g. information on your religious affiliation/denomination), we will store this data on the basis of your consent in accordance with Art. 9 para. 2 lit. a GDPR. This also applies if you provide us with further special personal data in the course of the application process.  
     
     
    By voluntarily submitting this data and by accepting this privacy policy, you consent to the storage of this special personal data as part of the application process.
     
     
    As a matter of principle, we do not take this special personal data into account when making a selection decision, unless it is necessary to take this special personal data into account due to a legal obligation. For example, in some job advertisements, people with disabilities may be given preferential treatment in accordance with the applicable laws.
     
     
    In these cases, the information is always voluntary and is provided with your express consent, which you give by voluntarily submitting this data and accepting this privacy policy.

If the use of personal data from the application process is necessary for the defense, exercise or enforcement of claims, we use the personal data required for this purpose to safeguard our legitimate interests in the defense, exercise and enforcement of claims on the basis of Art. 6 para. 1 lit. f GDPR.

To submit your application, a candidate profile is created. You can manage and update your data in your profile.

Select the open positions for which your application should be considered

When applying via our job portal, you have three options for how your data should be used. You can change this selection at any time after your application via your candidate profile.    The options are as follows:

Make my profile visible for:

  • "Only recruiters who are responsible for the job openings I have applied for" ("Variant 1" below): 
     only for jobs for which I have expressly applied
  • "All ALTANA recruiters in my country" ("Variant 2" below):
     to consider me for job openings within my country of residence
  • "All ALTANA recruiters worldwide (recommended - increases the visibility of your profile within our recruiting teams)” ("Variant 3" below): 
     to consider me for job openings worldwide

Below we inform you about how we process your data depending on the option you have chosen:

Variant 1: "Only recruiters who are responsible for the job openings I have applied for”
 Your data will only be used to fill the job opening(s) for which you have expressly applied. Your data will not be passed on within the ALTANA Group for the purpose of filling other positions.

a) Responsible body
 The ALTANA Group company specified in the respective job advertisement who is responsible for the respective job advertisement. All personal data provided by you in the application form, including the data resulting from all attachments provided by you, will be processed by the ALTANA Group company responsible for the respective job advertisement exclusively for the purpose of your application.

b) Data access
 The persons authorized to fill vacancies within the ALTANA Group have access to the personal data stored in your candidate profile, depending on the job opening(s) for which you have applied. Your personal data will be accessible to the respective HR managers within the ALTANA Group and will be made available to selected hiring managers in individual cases. Within the framework of our matrix organization, these may also be managers from other Group companies, i.e. who are not employed by the company in the position advertised.

Your data will be used exclusively for the application process for the job opening(s) for which you have expressly applied. The data will not be passed on to any ALTANA Group company that is not involved in your selection process.

If you have opted for this option, please continue reading in chapter 4.

Variant 2: "All ALTANA recruiters in my country"
 Your data may be forwarded to all companies of the ALTANA Group to fill vacancies within the country in which you reside. Your data will expressly not be forwarded to fill vacancies outside your country of residence.

a) Responsible body
 The responsible body for the respective job advertisement is the ALTANA Group company specified in the respective job advertisement. All personal data provided by you in the application form, including the data resulting from all attachments provided by you, will be processed exclusively for the purpose of your application.

b) Data access
 The persons authorized to fill vacancies within the ALTANA Group have access to the personal data stored in your candidate profile, depending on the job opening(s) for which you have applied. Your personal data will be accessible to the respective HR managers within the ALTANA Group and will be made available to selected hiring managers in individual cases. Within the framework of our matrix organization, these may also be managers from other Group units and Group companies, i.e. who are not employed by the position being advertised. 

In addition, recruiters from other ALTANA Group companies can access your data from your candidate profile in order to consider you for other positions within your country of residence. The data cannot be viewed by ALTANA Group companies outside your country of residence.
 
 For internal applicants, this option also means that your application will also be visible to the recruiting managers of the company where you are currently employed.

If you have decided on this option, please continue reading in chapter 4.

Variant 3: " All ALTANA recruiters worldwide (recommended - increases the visibility of your profile within our recruiting teams)”
 Your data can be forwarded worldwide within the ALTANA Group to fill job openings. There is no restriction to certain countries.

a) Responsible body
 The responsible body for the respective job advertisement is the ALTANA Group company specified in the respective job advertisement. All personal data provided by you in the application form, including the data resulting from all attachments provided by you, will be processed exclusively for the purpose of your application.

b) Data access
 The persons authorized to fill job openings within the ALTANA Group have access to the personal data stored in your candidate profile, depending on the job opening(s) for which you have applied. Your personal data is accessible to the respective HR managers within the ALTANA Group and is made available to selected hiring managers in individual cases. Within the framework of our matrix organization, these may also be managers from other Group units and Group companies, i.e. who are not employed by the position being advertised. 

In addition, recruiters from other ALTANA Group companies worldwide can access your data from your candidate profile in order to consider you for other job openings worldwide. By submitting your application, you show us your interest in employment with a company of the ALTANA Group and provide us with your personal data beyond your specific application for the purpose of filling a position. In this respect, we will use your personal data within ALTANA worldwide for the search for suitable applicants. For this reason, personal data may be transferred across national borders. The data you provide in your candidate profile may therefore be collected, stored, processed, evaluated and forwarded by the persons responsible for recruiting for ALTANA companies in the following countries of the ALTANA Group if you are suitable:

The companies of the ALTANA Group collect, process and use the personal data you provide exclusively for the purpose of your application.

Inclusion in the candidate pool

If we do not make you a job offer, you may have the option of being included in our candidate pool. This is a database in which your candidate data is stored so that we can contact you directly in the future if a suitable job opening arises. If you are accepted, all documents and details from your application will be transferred to the candidate pool so that we can contact you if a suitable job opening arises.

Inclusion in the candidate pool is based exclusively on your express consent (Art. 6 para. 1 lit. a GDPR). Giving consent is voluntary and is not related to the current application process. The data subject can withdraw their consent at any time. In this case, the data will be irrevocably deleted from the candidate pool, provided there are no legal grounds for retention.

The data from the candidate pool will be irrevocably deleted no later than two years after consent has been granted.

3. Hosting and content delivery networks (CDN)

We host the content of our website with the following providers:

External hosting

This website is hosted externally. The personal data collected on this website is stored on the servers of the hoster(s). This may include IP addresses, contact requests, meta and communication data, contract data, contact details, names, website accesses and other data generated via a website.

External hosting is carried out for the purpose of fulfilling the contract with our potential and existing customers (Art. 6 para. 1 lit. b GDPR) and in the interest of a secure, fast and efficient provision of our online offer by a professional provider (Art. 6 para. 1 lit. f GDPR). If a corresponding consent has been requested, the processing is carried out exclusively on the basis of Art. 6 para. 1 lit. a GDPR and § 25 para. 1 TDDDG, insofar as the consent includes the storage of cookies or access to information in the user's terminal device (e.g. device fingerprinting) within the meaning of the TDDDG. Consent can be revoked at any time.

Our host(s) will only process your data to the extent necessary to fulfill its performance obligations and follow our instructions with regard to this data.

Storage duration

If we are unable to make you a job offer, you reject a job offer or withdraw your application, we reserve the right to retain the data you have submitted on the basis of our legitimate interests (Art. 6 para. 1 lit. f GDPR) for up to 6 months from the end of the application process (rejection or withdrawal of the application). The data will then be deleted and the physical application documents destroyed. The retention serves in particular as evidence in the event of a legal dispute. If it is evident that the data will be required after the expiry of the 6-month period (e.g. due to an impending or pending legal dispute), deletion will only take place when the purpose for further storage no longer applies.

Data may also be stored for longer if you have given your consent (Art. 6 para. 1 lit. a GDPR) or if statutory retention obligations prevent deletion.

 

General information on the legal basis for data processing on this website

Recipients of personal data

As part of our business activities, we work together with various external bodies. In some cases, it is also necessary to transfer personal data to these external bodies. We only pass on personal data to external bodies if this is necessary for the fulfillment of a contract, if we are legally obliged to do so (e.g. passing on data to tax authorities), if we have a legitimate interest in the transfer in accordance with Art. 6 para. 1 lit. f GDPR or if another legal basis permits the transfer of data. Consent to data transfer within the Group

By giving your consent, you agree that we may transfer your personal data to other Group companies, both nationally and globally. This transfer takes place exclusively on the basis of your express consent, in compliance with the applicable data protection regulations and the ALTANA data protection framework agreement.

Note on data transfer to the USA and other third countries 

Among other things, we use tools from companies based in the USA or other third countries that are not secure under data protection law. If these tools are active, your personal data may be transferred to these third countries and processed there. We would like to point out that a level of data protection comparable to that in the EU cannot be guaranteed in these countries. For example, US companies are obliged to hand over personal data to security authorities without you as the data subject being able to take legal action against this. It can therefore not be ruled out that US authorities (e.g. secret services) may process, evaluate and permanently store your data on US servers for surveillance purposes. We have no influence on these processing activities

Revocation of your consent to data processing

Many data processing operations are only possible with your express consent. You can withdraw your consent at any time. The legality of the data processing carried out until the revocation remains unaffected by the revocation.

Right to object to the collection of data in special cases and to direct marketing (Art. 21 GDPR)

Right to data portability

You have the right to have data that we process automatically on the basis of your consent or in fulfillment of a contract handed over to you or to a third party in a common, machine-readable format. If you request the direct transfer of the data to another controller, this will only take place if it is technically feasible.

  • If the processing of your personal data was/is carried out unlawfully, you can request the restriction of data processing instead of erasure.

SSL or TLS encryption

This site uses SSL or TLS encryption for security reasons and to protect the transmission of confidential content, such as orders or inquiries that you send to us as the site operator.
